BWDC Dinners – Booking and Place Allocation process

Booking

• It is NOT a “first past the post” system.
• Opens 3 months before the dinner
• 1st tranche closes 4 weeks later
• We then generate the place allocation database based on ALL bids from the 1st tranche, in accordance with the priorities and guidance agreed by the committee, and after any committee-supervised lottery should demand exceed supply.
  
• The booking system allows a member to pay for 1 member and 1 guest.
• All payments are made by Credit/Debit Card through STRIPE and this is the only way to secure a place.
• All applications/payments after the 1st Tanche will join the waiting list (if there is one) after those who did not gain a place from the lottery (if required) in the order they applied.

Place Allocation

As agreed by the committee in July 2023, places for dinners will be allocated as follows:

Guaranteed Guest Speaker, President, Vice President, Honorary Secretary, Chairman Any other Club guest approved by the Committee Priority 1 (in order) Committee members (allowed one guest each) Members who have not attended any of the previous 3 dinners Members who joined the Club in the previous year (and one guest each) Members who applied and failed to gain a place the previous year (and one guest each) Priority 2 Honorary Vice Presidents and their guest Former Presidents and their guest Former speakers and their guest Former Members of the Committee and their guest Priority 3 (in order) Individual members and their guests who haven’t attended for the last TWO years Individual members and their guests who didn’t attend LAST YEAR Individual members and their guests who were on the waiting list last year, but got a place Priority 4 Individual members and their guests who came last year, but not previous year Individual members and their guests who came for the last TWO years, but not the previous year Individual members and their guests who came for the last THREE years

For practical purposes for the lottery, the priority numbers used are: Priorities Pri Number committee//HVP/club guests/former committee 1 New member dining in year of joining and guest 2 last came 3 or more years ago 3 last came 2 years ago 4 WL last year – failed or withdrew 5 came last year from WL 6 came last year non_WL 7 came last 2 years 8 came last 3 years 9
